WhatsApp is how a large share of your customers already prefer to talk - especially if you serve Hispanic, Latin American or immigrant communities, international clients or anyone who travels. In the US, Pew Research found 54% of Hispanic adults use WhatsApp, and 32% of all US adults used it in 2025.

The WhatsApp Business app on one phone stops working once more than a couple of people need the conversations. The WhatsApp Business Platform (the API) gives you a shared inbox, automation, CRM integration and message templates - but it comes with rules on opt-in, templates, pricing and AI use that change often. Our team built a WhatsApp-first billing and collections platform, so we build around those rules from day one.

    What we build

WhatsApp Automation: what it looks like in practice.

    WhatsApp Business Platform setup

Business verification, number migration, display name, templates and a shared team inbox - on the official API, directly with Meta or through a provider.

    WhatsApp chatbots

Menus and AI-assisted replies for FAQs, lead qualification, bookings and order status, with instant handoff to a person.

    CRM & system integration

Every conversation logged on the right contact in your CRM, with automatic lead creation and routing. See custom CRM development.

    Reminders & transactional updates

Appointment reminders, payment reminders with pay links, delivery and job-status updates using approved utility templates.

    Click-to-WhatsApp ad funnels

Ads that open a WhatsApp conversation, with the lead qualified and routed before your team picks up.

    Bilingual flows

English and Spanish conversation flows for mixed-language customer bases (translations provided or approved by you).

    Pricing

What it costs, in real numbers.

WhatsApp projects range from a clean setup to a custom messaging product. Typical ranges:

    Setup + shared inbox

    From $2.5k

Official WhatsApp Business Platform, verified business profile, templates, team inbox and basic automated replies.

    1–3 weeks

    Chatbot + CRM integration

    $8k–$25k

Qualification flows, AI-assisted answers, CRM sync, reminders and payment links, with reporting.

    4–8 weeks

    Custom WhatsApp product

    $25k+

Multi-team inboxes, AI assistants, billing or reminders at scale, and your own admin tooling.

    2–4 months

Meta bills WhatsApp per message delivered, by template category (marketing, utility, authentication); replies inside the 24-hour customer-service window are free, and many utility messages sent inside it are too. Provider fees apply if you use a solution provider. US note: as of September 2026 Meta is not delivering marketing template messages to US (+1) numbers - so we design US programs around service, transactional and inbound conversations. Is this right for you?

    An honest fit check.

    A strong fit if…

    • Customers already message you on WhatsApp and replies are slipping through the cracks.
    • Several people need to answer from one business number.
    • You send reminders or updates that customers actually want to receive.

Probably not the right move if…

    • The plan is bulk promotional blasts to US numbers - Meta is not delivering marketing templates to +1 numbers right now.
    • Your customers overwhelmingly prefer SMS or email - we'll say so and help there instead.
    Expert notes

What we'd tell you on the first call.

The WhatsApp rules that trip US businesses up

Opt-in: you need a customer's permission before sending template messages, and you must honor opt-outs. Templates: messages you start must use pre-approved templates in the right category. AI: WhatsApp allows AI for customer support, but not general-purpose assistants. Consent law: US marketing messaging is shaped by the TCPA and state laws such as Florida's Telephone Solicitation Act - have counsel review your opt-in language for any promotional use. We design flows around all of it, and flag anything that needs legal review.

WhatsApp Business app vs. the API

The free app works for one person on one phone (plus a few linked devices). The moment you need a team inbox, automation, CRM integration or more than a handful of conversations a day, you need the WhatsApp Business Platform. Moving a number across is part of our setup.

    FAQ

    WhatsApp Automation: questions buyers ask.

How much does WhatsApp Business API integration cost?

Our setups start around $2.5k for the official platform, templates and a shared inbox. Chatbot and CRM integration projects typically run $8k–$25k. Meta's per-message fees are billed separately.

Can we send WhatsApp marketing messages to US customers?

As of September 2026, Meta is not delivering marketing template messages to US (+1) phone numbers. Service conversations, utility messages (reminders, order and payment updates) and inbound conversations still work, so we build US programs around those.

Do we need a Meta partner or can we go direct?

Both work. The Cloud API lets you connect directly with Meta; providers like Twilio or 360dialog add tooling for a fee. We recommend based on your volume and needs.

Can WhatsApp connect to our CRM?

Yes. We log conversations on contact records, create leads automatically and trigger messages from CRM events in HubSpot, Salesforce, Zoho, GoHighLevel or a custom CRM.

Can we keep our existing business number?

Usually yes. A number can be moved from the WhatsApp Business app to the platform; we plan the migration so you don't lose the number.

Is an AI chatbot allowed on WhatsApp?

Yes for business customer service. Since January 15, 2026, WhatsApp's terms bar general-purpose AI assistants from the platform, so bots must serve your business use case - which is how we build them.
